VENUE HIRE BOOKING INFORMATION & CONDITIONS
WEDDINGS AND PRIVATE FUNCTIONS
Windmills Break is located in Yallingup, Western Australia and sits on 10 acres of manicured gardens. With sweeping lawns, private swimming pool, heated spa, tennis court and a gymnasium, Windmills Break provides an amazing setting for special occasions and beautiful weddings.
Our property caters for private functions, weddings and special occasions to approximately 150 guests, with hotel accommodation capacity being 26 guests (including children).

Please note that we are unable take bookings for weekend weddings in January and February each year. However, mid week weddings are possible at any time of the year (Monday, Tuesday, Wednesday or Thursday).
AVAILABILITY - We still have availability for some dates in September, October, November or December 2009 - and also for March, April and May 2010.
PART 1 - ACCOMMODATION
To ensure that the occasion remains special and private - the wedding party or private function group must reserve Windmills Break exclusively for a minimum of two nights. The cost for reserving all 13 rooms (for a maximum of 26 people) is $5,135 per night (or $395 per room) and includes gourmet breakfast every day.
Please also note that our rates are based on a maximum of two people in any room or suite.
PART 2 - FOOD MENU OPTIONS
Menus are available from approximately $65 - $120 per person including pre dinner canapés, a three or four course set menu with coffee, tea and chocolates. The per person cost includes personalised menus. The selection of various menus include Cocktail and Canape options as well as a la carte menus.

PART 3 - WINE AND BEVERAGE OPTIONS
Option 1 - Standard Drinks Package ($65 per person)
A 6 hour package operating from 6pm until midnight includes: Windmills Break Semillon Sauvignon Blanc 2008, Windmills Break cabernet Merlot 2004, Toohey's Extra Dry beer, Hahn Premium Light beer and soft drinks.
Option 2 - Premium Drinks Package ($75 per person)
A 6 hour package operating from 6pm to midnight includes: Flying Fish Semillon Sauvignon Blanc, Forrester Estate Cabernet Merlot, Corona Beer, Crown Lager Beer, Cascade Premium Light Beer, Wise Bead Champagne and soft drinks.
Option 3 - Luxury Drinks Package ($95 per person)
A 6 hour package operating from 6pm to midnight includes: Cloudy Bay Sauvignon Blanc, Flying Fish Prize Catch Cabernet Sauvignon, Corona Beer, Heineken Beer, Crown Lager Beer, Cascade Premium Light Beer, Leeuwin Estate Pinot Noir Chardonnay (champagne) and soft drinks.
Other combinations are available.
PART 4 - WEDDING CEREMONIES
Wedding Ceremonies may be held within the grounds of Windmills Break - no additional charges apply for wedding ceremonies. We are unable to offer Wedding Ceremonies unless the Wedding Reception is also booked at Windmills Break.

PART 5 - VENUE HIRE FEE
A non-refundable Venue Hire Fee of $2,500 applies to all weddings and private functions. This is a fixed reservation fee and covers the cost of preparation, organisation, setup and cleanup of the reception and function area. It does not cover any hire charges for marquees, tables, chairs, linen etc (if these are needed).
PART 6 - OTHER CONSIDERATIONS
Windmills Break can assist with the total co-ordination of your function including decoration, flowers, photography, transport and entertainment. Where necessary, we can also assist with the hire and setup of Marquee’s and other equipment that may be necessary for the Function - we can co-ordinate many of these items on your behalf.
Windmills Break can also provide a Master of Ceremonies for the evening if needed.

PART 7 - DEPOSIT POLICY
A non refundable deposit of $2,500 (the Venue Hire Fee) is required at the time of booking.
Where a signed contract and deposit have not been received within ten days of the initial tentative reservation all rooms held will be released and the booking will be considered cancelled.
PART 8 - PAYMENT OF ACCOUNTS
All accommodation costs (rooms and suites) are required to be paid in full twelve (12) weeks prior to the date of the function.
All remaining fixed costs including catering, hire charges, flowers etc are to be paid 2 weeks prior to the function.
The final account with any special costs will be presented to you for payment in full (less deposit and other payments) at the conclusion of the function unless prior arrangements have been made with the General Manager.
PART 9 - CANCELLATION POLICY
If cancelled at least twelve (12) weeks or more prior to the function - all fees and charges are refunded in full, with the exception of the venue hire fee ($2,500).
If cancelled less than twelve (12) weeks from the function - no refunds are available (this includes all payments made for venue hire, accommodation, catering costs, other hire charges etc).
PART 10 - FUNCTION BOOKING CONDITIONS
(a) Exclusive Booking of all accommodation at Windmills Break for 2 nights as a minimum.
(b) Menus and final guest numbers must be confirmed 1 month prior to arrival.
(c) Windmills Break is a licensed venue and, therefore, no BYO is permitted.
(d) Where necessary, Windmills Break reserves the right to charge for staff members working at the function at a rate agreed with the group organisers.
(e) The Group Booking Organisers will be charged for any damages or heavy cleaning required as a result of the function.
(f) Windmills Break takes great care when looking after Guest’s belongings. Where possible all lost property will be returned to the rightful owner. However, we cannot accept responsibility for the loss or damage of items during or after the function .
(g) As Windmills Break sits within a tranquil environment and there are a number of private residences in close proximity please keep amplified music and excessive noise to a minimum
(h) All Private Functions and Weddings must finish by Midnight. Private transport must be arranged to collect guests not staying at Windmills.
(i) All prices are current at the time of quotation and are subject to change without notice.
PART 11 - EXAMPLE TYPICAL WEDDING PACKAGE
By way of example, a typical wedding package for sixty (60) people (all seated) might be constructed along the following lines (refer to Part 3 above for a sample drinks package and contact us direct for sample food menus):
- $2,500 Venue Hire Fee
- $4,500 Drinks - Six Hour Package (60 * $75)
- $5,100 Food - 3 Course Meal (60 * $85)
- $1,500 Hire of tables, chairs and PA system
- $900 Staff Costs - 4 additional staff
$14,500 for 60 People
- $5,135 Accommodation in 13 rooms/suites
- $5,135 Accommodation in 13 rooms/suites
$10,270 for 2 nights accommodation
$24,770 Total Estimated cost
This package includes two nights accommodation and breakfast for 26 Guests staying in 13 Rooms and Suites.
